About The Position

We are seeking a dedicated and detail-oriented Operations & Reception Specialist  to join our dynamic high-tech company. This role primarily focuses on two key responsibilities: managing the calendars of the executive team and staffing the front desk to ensure a professional and welcoming environment. The ideal candidate will demonstrate professionalism, multitasking abilities, and a proactive attitude in ensuring the seamless operation of our office.

Responsibilities

  • Provide administrative support to the CEO, handling confidential and sensitive information with discretion.
  • Manage calendars for 8 executive team members, including scheduling meetings, resolving conflicts, and ensuring proper room allocation.
  • Serve as the primary point of contact at the reception desk, greeting visitors warmly, coordinating with their hosts, and maintaining a professional and welcoming environment.
  • Ensure the reception area is tidy, organized, and fully equipped with necessary supplies.
  • Report any maintenance issues or cleaning requirements to the Operations team.

Requirements

  • Proven experience as an Office Manager, or similar administrative role.
  • Significant experience managing multiple calendars simultaneously, demonstrating the ability to handle complex scheduling needs.
  • Strong organizational and multitasking skills, with meticulous attention to detail.
  • Excellent communication and interpersonal skills, demonstrating a high level of professionalism.
  • Ability to maintain confidentiality and handle sensitive information discreetly.
  • Fluent English with excellent written and verbal communication skills.
